Kahua - Phase Gate App
This article provides step-by-step instructions on how to use the Phase Gate application in Kahua.
At this time, only closeout checklists have been added to the Phase Gate App.
Starting a New Closeout Checklist
- Navigate to the project in Kahua.
- Once in the project, go to the Phase Gate Processes App by selecting Apps and then searching for Phase Gate Processes using the Search Bar.
- Select Phase Gate Processes, then the Processes and Stages tab.
- Select New From Template to open a new checklist.
- Add a Number and Title.
- Select a closeout checklist from the dropdown in the Template field.
- Select Next. A new record will be added to the list view.
- Select the new record and select Edit.
- For the Project Manager (PM) Checklist, the Responsible field will automatically populate with the university PM’s name from the project details.
- For the Financial Manager (FM) Checklist, the Responsible field will automatically populate with the university FM’s name from the Roster.
- For Notify on Start field, select the team member(s) who should be notified that the closeout checklist has been started. Multiple people may be selected.
- For the PM checklist, include at least the project FM.
- For the FM checklist, include at least the project PM.
- For Notify on Completion, select the team member(s) who should be notified when the closeout checklist has been completed. Multiple people may be selected.
- For the PM checklist, include at least the FM and CCU Director.
- For the FM checklist, include at least the PM and CCU Director.
- The Items section will already be populated based on the selected template.
- Select Save/Close.
- Select Complete Setup.
- The status will change from Setup to Draft.
- When you are ready to start the checklist, select Start.
- Those listed in the Notify on Start field will get an email.
Completing Items on the Checklist
- When items have been completed, navigate to the Items section. Select Mark Complete under the Actions Column for that Item.
- NOTE: Once an Item is marked complete, it cannot be reopened or edited.
- To add more details to the Item, select Edit, then navigate to the Items section.
- Select the More icon to expand the grid.
- Add revision notes as needed in the Revision field.
- Add comments as needed to the Comment field.
- Select View Details next to the Item Number.
- Revisions and Comments may be added here as well. Add any other details necessary such as Dates and References.
- Use the Next and Previous buttons to navigate to the next Item.
- Select Done when complete.
- Select Save/Close.
Completing a Closeout Checklist
- Once the closeout checklist is complete, select Mark Complete at the top of the record.
- Those listed in the Notify on Completion field will get an email.
Once the CCU Director and FM have completed their reviews, the FM can change the Project Phase from Complete to Closed in the Project Details.
