SIMR (Self-Service Inventory Management for RP) is a tool for CRM unit contacts to use in confirming and updating Replacement Program enrollments.

Guiding SIMR reviewers

SIMR operates as a spreadsheet. A unit contact (“reviewer”) will be automatically sent a reminder to review this list (~January 2nd) and make adjustments for the following FY before a deadline (~April 16th). Reviewers will be encouraged to reach out to members of the User Support team and receive help on guiding users through this process.

Here is a comprehensive list of what a guide should be able to clarify for reviewers:

  • Reviewers should mainly focus on machines highlighted in blue, as these are eligible to swap programs (Laptop <--> Desktop) or can be retired from the program.
  • Reviewers are able to add new RPs into the DRP or LRP program and should provide information on who it will be used/stewarded by (or specify if expecting to finish the hiring process later in the FY).
  • Reviewers are able to change the owner and location fields at any time, even outside of the adjustment period.
  • Reviewers cannot un-enroll RPs or swap programs (Laptop <--> Desktop) outside of the adjustment period.
  • Some fields are always locked and cannot be changed (e.g. renewal FY, name, serial number), but a reviewer is able to write comments to clarify any information about the device.
  • Reviewers will only have a few weeks to confirm this list. They will get repeated reminders throughout the adjustment period. If no response is recorded, it is assumed the information is already accurate and no changes will be made.

Confirmation:

  1. After a reviewer clicks “Confirm list”, they will have a moment to confirm that the changes made are accurate before submission
  2. A TDX Incident will be created with the requested changes and sent to a queue for technician review
  3. The unit contact will receive an email with their response and a message that a ticket has been created
  4. Technicians will make the changes in the TDX Asset tool and reach out to the user to confirm the changes have been made.

Reference icons/formatting:

  • 🔀 / Blue highlight - A computer that is up for replacement. Unit contacts have the ability to change their program type (DRP/LRP) and monitor type. These can be retired.

  • 🆕 / Green highlight - A computer that will enter the program for the first time this upcoming FY.

  • ❌ / Red highlight - A computer that will be retired from the program and not replaced.

  • Yellow highlight - Represents a change to the program type, owner, location, or monitor type.
