Matrix CMS - Provisioning Access for Content Editors

Before provisioning Content Editor access to Matrix CMS, you must first confirm the user has completed the following required training: Matrix CMS for Content Editors. You must also know if you are provisioning access to an entire website, a subsite, or to individual webpages. 

Adding a User in Squiz DXP

1. Log into Squiz DXP.
2. Navigate to Administration by selecting the tile at the bottom right of the screen.
3. From the Administration module, select Users from the left navigation pane.
4. Once in Users, select the blue Invite users button at the top right of the screen. 
5. Enter the user's email address in the Emails field, and then select Content editor from the Roles dropdown menu.
6. Select the Send invite button to trigger the account activation email to the user. 

The user must follow the link in the system generated email to log in and active their account before you can move on to the next set of steps.

Provisioning Website Access in Matrix CMS

7. Log into Matrix.
8. Expand Users Folder [4] in the Asset Tree.
9. Expand IDP Users - First Login [401].
10. Review the resulting list of users to locate the user for which you are provisioning access.
    Note: if you do not see the user in the list, have them log in again and then review the users list again.
11. Click on the user asset and drag it down to Content Editors [24155].
12. Select Move here from the resulting dialog box.

Now that you have added the user to the Content Editors group, you can provision their access to websites or webpages. Please note that Content Editors should not be given edit access to Site Management or Site Configuration assets.

If you are provisioning Write access to an entire website:

13. Right click the folder asset for the site (example: PROD - audits.uillinois.edu [235]), hover over Settings, and then select Permissions.
14. Select the Edit button at the top right of your screen.
15. Select the Add read permission button to add a blank row to the Read Permissions table.
    Note: leave the Cascade checkbox checked, as you are provisioning access for the entire site.
16. Enter the user's asset ID in the Enter an ID or select an asset box and then press the Enter key on your keyboard.
17. Select the downward-facing arrow next the Save button and then select Release locks now.
18. Expand the folder asset for the site, and then right click site asset (example: aits.uillinois.edu [1007]), hover over Settings, and then select Permissions.
19. Select the Add write permission button to add a blank row to the Write Permissions table.
    Note: leave the Cascade checkbox checked, as you are provisioning access for the entire site.
20. Enter the user's asset ID in the Enter an ID or select an asset box and then press the Enter key on your keyboard.
21. Select the downward-facing arrow next to the Save button and then select Release locks now.

If you are provisioning Write access to a subsite or specific webpage(s):

Instead of provisioning Write access for the parent site asset (example: aits.uillinois.edu [1007]), you will provision Read access at that level. Then you will expand the parent site asset, locate the webpages for which the user needs access, and complete steps 19-21 above. You must decide rather or not to cascade access depending on the access the user needs. 

Confirming Access

23. Expand Users Folder [4] in the Asset Tree.
24. Expand Content Editors [24155].
25. Find the user for which you just provisioned access, right click their asset, and then select Sign in as. 
26. Review the asset tree to ensure the user has the proper access.
27. Once confirmed, select the My Account button at the top right corner of the screen, and then select Sign out and resume as Name.
