Why Shared Mailbox "Sent Items" Can Look Inconsistent in Outlook
Here is why this happens and what to expect.
What happens by default?
By default, Microsoft Outlook cares about who sent the email, not what address it was sent from.
If you are logged into your personal account and send an email from the shared mailbox, Outlook will drop that sent message into your personal "Sent Items" folder. Because it is in your private folder, your teammates cannot see it in the shared mailbox.
Why does it look inconsistent across the team?
If you notice that Team Member A’s sent emails show up in the shared mailbox, but Team Member B’s emails do not, it is usually due to how their Outlook is set up. Inconsistency happens because:
Different Outlook Versions: Someone using the Outlook App on a Mac, someone on a PC, and someone using Outlook on the web can all experience different behaviors.
How the Mailbox Was Added: If IT automatically added the shared mailbox to your Outlook sidebar, it behaves differently than if you manually logged into the mailbox with a separate password.
What this means for users
Because a shared mailbox doesn't automatically keep a perfect history trail for everyone by default, we recommend a few team habits:
- When in doubt, CC the shared mailbox: If it's critical that the whole team sees your reply, add the shared mailbox address to the Cc line.
- Talk to IT: If your team requires a strict, automatic record of all sent emails within the shared folder, let the Helpdesk know. We can configure settings for your team's mailbox to make behavior consistent for everyone.
