How to copy and scan in the iSchool buildings.

How to Copy Using the Copier-Scanner in 501 E. Daniel

For Students

If you need to copy something, you should email a scan of the image to yourself and then print it from your laptop or the kiosk. 
You can also Print/Scan/Copy in the Main Library.

For iSchool Faculty and Staff

All faculty and staff should have their own Account ID (5-digit numbers) assigned by the front office. This ID will work on both Optimus (accessible to all iSchool members on the 2nd floor, East Wing) and Winnie (accessible to faculty and staff in room 112, the front office).

If using the scanner bed:

  1. Open the top of the copier, place your original document on the scanner bed, and close the copier.
  2. From the home screen, select Copy. 
  3. When asked for your Account ID, input the Copier Code.
  4. Type in the number of copies you would like to make.
  5. Common settings you may wish to adjust:
  • Output Color: Auto-selects based on your original, but you can select either Black & White or Color.
  • 2-Sided Copying: You typically will not change this when making copies from the scanner bed. 
  • Paper Supply: The copier will attempt to auto-select a sheet size based on the size of your original, but you can select a particular size here. If you are using auto-select, you may get an error message saying the copier cannot select a sheet size based on your original.
    • If you would like to print onto special paper (for example, if you are printing flyers on a specific color of sheet), you should feed your sheets into Tray 5, the bottom left tray when you are facing Optimus, then select Tray 5 from Paper Supply.
  • Reduce/Enlarge: Scale your original image up or down in size.

6. After adjusting the settings you need and selecting the number of copies, select Start.
Don't forget to log out when you're done! 

If feeding documents into the top tray:

Place all documents face-up in a neat stack into the top feeder tray on Optimus.

  1. From the home screen, select Copy. 
  2. Common settings you may wish to adjust:
    1. Output Color: Auto-selects based on your original, but you can select either Black & White or Color.
    2. 2-Sided Copying: Select whether your original is 1- or 2-sided and whether you would like your copies to be 1- or 2-sided. For instance, if your originals are all 1-sided but you would like your copies to be 2-sided, select 1- > 2-sided.
    3. Paper Supply: The copier will attempt to auto-select a sheet size based on the size of your original, but you can select a particular size here. If you are using auto-select, you may get an error message saying the copier cannot select a sheet size based on your original.
    4. If you would like to print onto special paper (for example, if you are printing flyers on a specific color of sheet), you should feed your sheets into Tray 5, the bottom left tray when you are facing Optimus, then select Tray 5 from Paper Supply.
    5. Reduce/Enlarge: Scale your original image up or down in size.
  3. When asked for your Account ID, input the Copier Code.
  4. Don't forget to log out when you're done!

How to copy and scan on the Ricoh devices at 614

Logging into Ricoh Copy/Scan/Print devices

These instructions apply to: Charon (5th floor copy room), Luna (4th floor by the help desk), and Titan (available to faculty and staff only in the copy room on the 4th floor)

  • Use the touch screen console on the front of the printer. You’ll be prompted to enter your NetID (make sure to include ‘@illinois.edu’) and password.
  • Once logged in, you will want to tap on “Departmental Use" option on the center of the screen.

  • This will show your PaperCut balance.
  • Tap on the “Use Device Functions” button to access the main menu for the printer. Alternatively, the printer will automatically redirect to this screen after a few seconds.

  • From this screen, you can Copy, Scan, or navigate back to your PaperCut balance page in order to view your balance.

NOTE: Scanning is free to use on these devices, but copying is paid from your iSchool quota balance

Copying

  • When selecting the Copy option, you'll be taken to a control panel where you can access all the options for the copy you might want.

Here is an image of all of the options available for the Copy function on Luna.

  • Here you can select color options, which paper tray you want the copy to draw from, as well as how the copy function will convert to and from single or double-sided pages.

If using the Auto Document Feeder

    • Once ready, you can load the paper into the very top tray of the printer. When the printer senses that a page (or pages) is placed, it will tilt upwards a bit into a ready position. You'll want to put the pages in order with the first page on top and facing upwards. When you hit start, you can adjust how the pages will be read, as seen below.

If using the Exposure Glass

    • If using exposure glass, you'll lift the little handle right behind the control panel to access it. The page here is mostly identical but, as you can see, you'll want to place your document face down and it will only be able to scan one side at a time.

Scanning

  • When scanning, the printer will send a PDF of your document to a selected email. Your university email should already be accessible through the console, and other email addresses can be added and saved onto the account. For University of Illinois Emails, be sure to check your Other tab, as it normally will not send to the Focused tab on Outlook.
