How to modify a call group when you're a delegate

Introduction

Microsoft Teams has a feature called "delegate" that allows you manage the routing of phone calls for role-based accounts.  A "role based account" is basically a phone number that relates to an office or a specific position, such as the "facilities office".  When combined with a call group, a delegates for a role-based account can control how phone calls to the role-based account are routed.  

SCS IT can update this for you, but many people prefer "self-service" when possible so we do our best to accommodate.  NOTE: in the instructions below, we're using the "SCS Facilities" phone as an example.  

To become a delegate for a role-based account, email SCS IT staff at scs-computing@illinois.edu and let us know what role-based account you would like to be a delegate for.  

Once you are setup as a delegate, you can update who gets phone calls, order of ringing, etc., by doing the following:

Editing the Call group and call order

  • Click on the 3 dots (upper right corner) next to either your picture or your initials, and select Settings (see red circle, below)

  • On the left side, click on the Calls section - see green circle, below
     
  • At the top of the screen, select "SCS Facilities" (or whatever role-based account is shown there that you wish to edit - see orange circle, below
     
  • Click on the Edit button under "Manage call group" - see blue arrow, below.

  • The "Manage SCS Facilities's call group" screen will appear where you can make changes. 

    • Add someone by typing either their name or NetID in the "Type a name" box.
      • Once you have two (2) or more people, the "Ring: Everyone at once" drop-down becomes active, as shown below, so you can choose if everyone is called at the same time, or if you want to specify an order. 
      • If you select "Ring: In the order below", you can re-order the group by clicking on the 6 dots next to the left of someone's name, and dragging them up or down - see green diamond, below
    • Remove someone by clicking on the "trash can" icon next to their name

  • When you're done making changes, click on "Calls" at the top of the screen to return to the Calls Settings screen - see the pink squircle, above

Editing the list of delegates

  • Click on the "Edit" button under Manage SCS Facilities's delegates 
     
  • Edit the list exactly as described above.
