Office 365, Email, Exchange, Setting up Apple Mail

The Apple Mail application in macOS can reliably be used to access your University of Illinois email account. These instructions are accurate for recent versions of macOS, 10.14 (Mojave) and newer, though buttons and menu entries may have different names and locations in macOS 13 (Ventura).

Removing an Account for Re-Authentication

The first troubleshooting step for mail and calendar syncing problems is removing and re-adding your account. This forces Apple Mail to contact our mail server for updates, often resolving underlying configuration issues.

  1. Click the Apple icon in the upper-left corner of the screen, and choose Force Quit...
  2. Use the Force Quit Applications window to stop the Mail app if it is running. If you do not see an entry for Mail in the Force Quit menu, continue to 3.
  3. Click the Apple icon in the upper-left corner of the screen and choose System Preferences...
  4. Click Internet Accounts to open a window listing the accounts that macOS has been configured with. Locate your Illinois account in this list and click it to select it. If you do not see your account here, skip to adding it (below).
  5. Click the [-] (minus icon) in the lower-left corner of the list to remove your Illinois account.
    macOS may warn you about losing information, but any data stored on the Illinois mail server will not be lost; this step only removes it from your device.

Adding an Account with Modern Authentication

  1. Click the Apple icon in the upper-left corner of the screen and choose System Preferences...
  2. Click Internet Accounts to open a window listing the accounts that macOS has been configured with.
  3. Click the [+] (plus icon) in the lower-left corner of the list of accounts.
  4. Choose Microsoft Exchange as the mail service provider when prompted.
  5. Input your Illinois email address yourNetID@illinois.edu and click Sign In.
  6. If asked whether you want to sign in using Microsoft, choose Sign In (do not choose Configure Manually).
  7. A window with an Illinois-branded sign-in screen will appear with your email address already filled in and a prompt for your password. Input the same password that you use for other University websites and services, and click Sign In.
  8. Check the boxes for the Exchange account features you'd like to use in macOS, then click Done.

Manual Configuration

Apple Mail is usually clever enough to retrieve the correct server settings from our account system, and will never prompt for or allow these settings to be modified.

In the event that it is not, and does prompt for manual configuration, input the following:

Incoming Server Settings

  • Host Name: outlook.office365.com
  • Port: 993
  • User Name: your Illinois email address
  • Security: SSL/TLS
  • Authentication: OAuth2

Outgoing (SMTP) Server Settings

  • Host Name: smtp.office365.com
  • Port: 587
  • User Name: your Illinois email address
  • Security: STARTTLS
  • Authentication: OAuth2

Note that Apple Mail prompting for these settings usually indicates some other breakage, and you will likely need to remove and re-add the account instead (see above).
