How to modify a call group when you're a delegate

Introduction

Microsoft Teams has a feature called "delegate" that allows you to route your calls to someone else.  When combined with a call group, this allows you, as a delegate for a role-based account, to control who gets phone calls and how they're handled.  

You can always ask us to update this as well, but many people prefer "self-service" when possible, so we do our best to accommodate.  NOTE: in the instructions below, we're using the SCS Facilities phone (scs-facmanager) as an example.  

To update who gets phone calls, order of ringing, etc., do the following:

Procedure:

  • Click on the 3 dots (upper right corner) next to either your picture or your initials, and select Settings

  • On the left side, click on the Calls section

  • At the top of the screen, select "scs-facmanager"

  • Click on the Edit button under "Manage call group" (note: this shows "Ring everyone at once" (circled in green), but when you manage the call group, it shows the setting correctly. I'm not sure why, but I've reported this as a bug to Microsoft).

"New" Teams Call settings

  • The "Manage scs-facmanager's call group" screen will appear where you can:
    • Add someone by typing either their name or NetID in the "Type a name" box.
    • Remove someone by clicking on the "trash can" icon next to their name (red arrow)
    • Re-order the group by clicking on the 6 dots next to the left of someone's name, and dragging them up or down (blue arrow)
    • Change if the entire group is called at the same time or if people are called in order (circled in green)
